The Huntsville/Madison County Convention & Visitors Bureau offers an array of complimentary services to assist you with meeting planning logistics from start to finish.
Complimentary services/promotional items are offered based on the projected number of overnight sleeping rooms used upon booking with the Bureau's Convention Sales Department. If room night requirements aren't met, services are available for a minimal charge.

ADDITIONAL SERVICES
SPOUSE TOURS Huntsville offers a wealth of on-and off-site venues to suit every occasion. Your delegates may want to go shopping, enjoy an evening at the theater or tour the Historic District.
HOSPITALITY DESK: If you choose to set up a Hospitality Desk, registration assistants can provide knowledgeable information about the Huntsville/Madison County area and can assist attendees with literature and suggestions on attractions, restaurants, shopping, directions and maps. Please make sure your brochure request to stock the Hospitality Desk has been submitted to the Convention Services Department.
NAME BADGES: The Convention Bureau provides laser-printed name badges complimentary for 300 or more guest rooms used by convention delegates when we receive a typed or computer-generated list two weeks prior to the move-in date. These services are provided otherwise for a nominal fee.
WELCOME LETTERS: Upon request, the Bureau will provide a "Welcome Letter" from the mayor, chairman of the county commission and the bureau's executive director. To obtain a welcome letter please email your request to Van Brown, Convention Services Manager.
Include the official organization name, meeting name, meeting dates, a brief description of the meeting,Host Hotel if applicable, total number of attendees, total Room nights, your email or mailing address and your deadline to receive the welcome letter. *All requests must be received at least two weeks in advance.
SPEAKERS AND ENTERTAINMENT: We will be happy to provide a list of speakers available in the area, as well as other entertainment venues and charter bus services.
"WELCOME TO HUNTSVILLE" BANNER: Is ideal for registration area. The message is clear that Huntsville's hospitality industry is happy your delegates are here. Banner color is Yellow and Black with white text.
MEDIA ASSISTANCE: You simply provide the Convention Bureau with a synopsis of your meeting details and we'll distribute it to the local media. Your release should include the organization's name, meeting name, location, dates, speakers' names and any other pertinent information.
